How the agent works

Plenty of bots can answer. Far fewer know what to do next.

Every conversation moves through the same three stages, and you can see exactly what happened at each one.

  1. 01

It works out what they want

The question gets matched against the material you trained it on. Your FAQs, your documents, your pages. The answer comes from there, not from a model improvising.

  2. 02

    It does something about it

Most visitors want an outcome, not a paragraph. So it checks your live calendar, offers real times in their timezone, opens the right intake form, and saves what comes back.

    It knows its limits

Pricing negotiations. Complaints. Anything it was never taught. On those it stops, alerts your team, and hands the whole conversation over so the customer never repeats themselves.

AI assistant

It only knows what you teach it

Feed it your FAQs, your documents, your website. Every answer comes back in your language, about your business. Ask it something it was never taught and it will tell you so instead of guessing.

  • Train it on pasted FAQs, uploaded files, or a crawl of your site
  • Answers stay tied to the material you supplied
  • Remembers the conversation for 24 hours if someone comes back
  • Spots the visitor’s language and switches to it

The agent answers from these, and only these. Ask about anything else and it will tell you it does not know rather than invent something.

Human handoff

It knows when to stop talking and fetch a person

Some questions should never be answered by software. When one comes up, or when a visitor just asks for a human, the chat moves across to your team with the full thread attached.

  • Visitors can ask for a person whenever they want one
  • The transcript and everything captured moves across, so nobody repeats themselves
  • Your team gets pinged the second a handoff starts
  • After hours it takes contact details rather than leaving people hanging

Connect Google Calendar and the agent works from your genuine availability. It offers real openings, converts them to the visitor’s local time, and writes the booking back once they pick one.

  • Two-way Google Calendar sync, so double bookings cannot happen
  • Slots appear in whatever timezone the visitor is sitting in
  • They get a confirmation, you get the entry in your calendar
  • Every booking is listed and editable in your dashboard

Getting started

You can have this running before lunch

No developer needed. No integration project. No call with sales before you get to try it.

  1. 1

Point it at what you already have

Paste in your FAQs, upload a few documents, or just hand it your website address. Indexing takes minutes. There is no project plan.

  2. 2

    Make it look like you

Colours, logo, where it sits, how it greets people. Set your opening hours and pick who a conversation should go to when it needs a person.

  3. 3

Paste one line into your site

One script tag, dropped anywhere in your HTML. Works on WordPress, Shopify, Webflow, or something you built yourself.

What you can rely on

Everything on this page is checkable

You could go and verify any of it. That felt like a better use of the space than a customer count you have no way to confirm.

It will not make things up
Replies come from the material you supplied. Step outside it and the agent admits it does not know, then offers to fetch someone who does.
Encrypted the whole way
Every conversation travels over HTTPS. What gets stored is filed under your business account and nobody else’s.
Built to GDPR expectations
Privacy-first handling, retention you can actually find in writing, and a security page you can read before you hand over a thing.
Nothing to escape from
The free plan asks for no card. Paid plans run month to month and cancel from your dashboard. You will never need to book a call to leave.

Works with

FAQ

What people ask us before signing up

Not seeing your question? Send it over. A person will answer it.

How does QBotly know anything about my business?

You teach it. Paste in your FAQs, upload documents such as PDFs or Word files, or point it at your website and let it read through the pages. Every answer it gives comes from that material. When someone asks about something you never covered, it says so and offers to bring in a person rather than inventing a plausible-sounding reply.

Can a visitor reach a real person?

Yes, at any point. A visitor can ask for a human whenever they like, and the agent will also escalate on its own when a question goes past what it should be handling. Your team gets alerted immediately and receives the full transcript along with anything already captured, so the customer never has to start over.

How does appointment booking work?

Connect your Google Calendar and the agent works from your genuine availability. It offers open slots converted to whatever timezone the visitor is in, and once they choose, it writes the booking back to your calendar. Both sides get a confirmation, and every appointment shows up in your QBotly dashboard.

What will my team get notified about?

Four things: a new lead or form submission, a visitor asking to speak to a person, a confirmed appointment, and your account approaching its monthly chat limit. The point is that nobody has to sit refreshing a dashboard waiting for something to happen.

How long does setup take?

Most businesses are live the same day. You train the agent, set its appearance and greeting, then paste one script tag into your site. It runs on WordPress, Shopify, Webflow, Squarespace and anything hand-built. You will not need a developer.

Is the free plan actually free?

It is. 30 chats a month, forever, with no credit card and no trial clock ticking down. Paid plans begin at $12 a month for 2,000 chats. The AI assistant, human handoff, appointment booking and notifications are included on every plan, the free one included.

What happens to my customers’ data?

Conversations travel over encrypted connections and are stored against your business account only. QBotly is built to GDPR expectations, and the security page sets out in plain terms what is kept and for how long.

What if I go over my monthly chat limit?

You get warned on the way there, not after the fact. If you do hit the limit, the widget pauses until your next billing period starts. Upgrading resumes it straight away, and no surprise overage charge appears on your bill.

The visitor you miss at 10pm becomes someone else’s customer by morning.

Set your agent up, paste one line into your site, and let it deal with the questions, the bookings and the handoffs while you get on with the actual work.

100 chats a month, free forever. No card, no countdown, no catch.
